How to Write a Complaint Letter That Gets the Result You Want

Have you been double-charged on your credit card? Did the bad service at that restaurant ruin your special evening? Were the flowers you ordered dropped at the incorrect address? Then it’s time you write a complaint letter that gets the situation determined to your satisfaction. Make your opening sentence a positive one and get to the point in the 1st paragraph. Tell your story exactly and in as few words as possible. You do not want to inform the eaterie that you were hosting a business dinner with your new boss man, but rather this was a special evening to celebrate a crucial occasion. State in particular what went inaccurate,eg the nosh was cold or they neglected to bring the appetisers till the main course was served. Be funny if possible- this wasn’t brain surgery though it was necessary to you. Don’t threaten. Swearing to never shop there again or to call the Better Business Bureau just makes you appear beyond control.

No-one will be in a rush to handle your problem. If you act respectfully, you may expect the same behavior in return.

State precisely how this error cost ( time, money or humiliation ) and what result you need ( refund, free meal or present certificate ). However, you will get a free bottle of wine on your next visit. Supply a copy of your bills, correspondence or contracts with your letter. If you had a contract with a caterer and he did not give the puddings you ordered, having the accord to prove it’ll further your cause. When the problem has been resolved, be certain to do the company a favor in return. Telling your pals about the flowers that were brought to the incorrect infirmary and the way in which the florist personally took a fresh agreement to the patient himself shows how far the merchant was ready to head off to provide glorious buyer service. Don’t forget, the point of business is to keep the buyer coming back. How you let the company know about their mistake is just as significant as how they cure the situation- it could be a win-win solution for both parties.
